County Fermanagh Farming Society is searching for a Show Coordinator to be responsible for the administration planning and coordination of the Fermanagh County Show and other society events. This is a part time role on a temporary basis until September 2022, after which the role may be offered on a permanent basis. The successful candidate will be responsible for the financial administration of the show, administration of entries, schedules, catalogues, publicity and event coordination, as well as facilitating the committee of management and sub groups, minute taking and ensuring good governance is in place. To be considered for this position you will need exceptional organisational and communication skills with the ability to build and maintain good working relationships. You will have experience working to deadlines with the ability to prioritise multiple and changing demands. You will naturally take a proactive approach and have the ability to find solutions to issues that arise. You will be proficient in in Microsoft Office programmes with the ability to pick up new systems.

Show Coordinator

  • Reporting to the directors, responsible for the administration planning and coordination of the Fermanagh County Show and any other society events planned by County Fermanagh Farming Society Ltd.
  • Facilitating the committee of management and sub groups, minute taking and ensuring good governance is in place.
  • Leading on to financial administration, administration of entries, schedules, catalogues, publicity and organising resources needed for society events.

Main Duties

  • Meeting with the directors to identify requirements and timelines.
  • Organise committee and sub group meetings, take minutes and action decisions and report back.
  • Maintaining the Company Accounts using Microsoft Excel, issuing invoices monthly, collating all payments received, maintaining a cheque journal and preparing bank lodgements and bank reconciliations.
  • Data entry and monitoring online entries on the Supershow IT System used to collate and create the show catalogue.
  • Preparing press releases and dealing with media enquiries.
  • Actively seek new sponsorship, prepare sponsorship agreements and manage any corporate decisions re company colours for special rosettes and sashes.
  • Contacting suppliers to obtain quotes and booking all hire equipment and services to organise the event.
  • Organising and scheduling appointments and overseeing catering photography and guests for company events etc.
  • Developing task lists to enable volunteers and section stewards to carry out their duties effectively, in line with changing needs.
  • Monitoring and reporting on progress of the coordination of events to ensure they run to plan, escalating issues as they arise.
  • Managing inventory of office and event supplies, including all equipment needed to roll out events.
  • Coordinating all committee members and stewards so workflow remains on schedule.
  • Coordination of Health and Safety requirements including traffic flow plan.
  • Other duties and responsibilities as reasonably required by company secretary and directors.
